Requesting Catering Services‌

You can request catering services for your event once your booking has been Approved. Requests for catering services must be submitted no later than 7 days prior to your booking. Last-minute requests must be discussed with your event consultant and may not be guaranteed.


Catering requests that involve multiple services – e.g., breakfast, lunch, snacks – must be made separately based on the time of that service. For example, if you have a booking for which you would like to request breakfast and lunch, you must submit multiple requests – one for each meal/catering request.


You can request catering for your event as follows:


1. Log on to Virtual EMS using your Stern username and password

2. Click on Reservations->View My Requests

3. Locate the appropriate reservation and click on its name

4. Locate the appropriate booking and click on the green “+” icon:

5. Click “Catering Menu”:

6. Specify a start and end time along with a service type:

7. Select the items you would like. Consult with your event consultant if you are unsure as to what the appropriate selections for your event might be

8. Enter the chartfield that will be used to pay for the catering order:

9. Select the checkbox next to “I have read and agree to the terms and conditions”

10. Click “Save”


If you have multiple bookings within the same reservation, you will have the option to apply the same order to all or some of the other bookings. This is useful if you wish to place the same order for the other bookings – e.g., breakfast from 9am to 10am for a 3-day conference:

Select the checkbox next to each booking for which the order should be repeated and click “Save”.


If you don’t want to repeat the order for other bookings, leave the checkboxes unselected and click “Do not apply to additional bookings”.


To request an additional catering request for the same booking, repeat steps 1 through 11, changing the start and end time, service type and selections as appropriate.


PLEASE NOTE THAT CATERING SERVICES REQUIRES TIME TO SET UP. CLASSROOM BOOKINGS DO NOT HAVE SETUP TIME BUILT. DELAYS MAY OCCUR IF TIME IS NOT ALLOCATED TO SETTING UP CATERING.


Canceling a Booking

1. If your booking does not have services, you may cancel up until the day of the booking (though you are highly encouraged to cancel as soon as possible when appropriate)

2. If your booking does have services, cancellation is subject to the following cutoff times:

1. Up to 7 calendar days prior to the booking if catering and/or room setup has been requested.

2. Up to 3 calendar days prior to the booking if event technology is the only service requested.

You are highly encouraged to send an email to your event consultant if you are canceling a booking that contains room setup and/or catering.

3. If your booking has services and the cutoff time for that service has been reached (as outlined above), you will need to contact the space scheduler to cancel the booking on your behalf (a list of space schedulers can be found in Appendix B of this document). Please note that you may still be responsible for full charges for services requested for bookings cancelled at the last minute.


To cancel a single booking request, do the following:


1. Log on to Virtual EMS with your Stern username and password

2. Click on Reservations->View My Requests

3. Locate the appropriate reservation and click on its name:

4. Locate the appropriate booking and click on the red “X” next to it

Select a reason for the cancellation and add a brief note:

5. Click “Cancel Booking(s)”

To cancel all booking requests, do the following:

1. Repeat steps 1 through 3 above

2. Click “Cancel All Bookings”

3. Select a reason for the cancellation and add a brief note

4. Click “Cancel Booking(s)”

To cancel multiple booking requests, do the following:

1. Repeat steps 1 through 3 above

2. Click “Cancel Bookings”

3. Select one or more bookings

4. Click “Cancel Bookings”

5. Specify a reason for the cancellation and add a brief note

6. Click “Cancel Booking(s)”
