Recurring Bookings‌

You can create a recurring series of bookings in Virtual EMS using the Recurrence tool. To do this, follow these steps:

1. Log on to Virtual EMS using your Stern username and password

2. Click on Reservations->Request a Space

3. Set the date to the first desired booking date. Click the Recurrence button:

4. The following window will appear:

5. Pick the desired recurrence pattern and click Apply Recurrence

6. Click Find Space

7. The following window will appear:

In this window, you will see which room availability for the recurrence pattern you’ve specified. Under “Available”, the second number indicates how many bookings will be requested. The first number indicates for how many of those bookings a particular room is available. For example, “5/5” indicates that a room is available for 5 out of 5 possible bookings.

8. Click the green “+” button next to each room

9. Complete steps 7 and 8 from pages 7 to 8 of this guide



Requesting an Offsite Space

Offsite spaces are used as placeholders in Virtual EMS for events held at offsite venues as well as those held in onsite spaces that are not available for general request. Scheduling events in offsite spaces must be done through Special Events. The following spaces at Stern are considered offsite spaces:

  • Sosnoff Lounge
  • UC100 Study Lounge


This study lounge is jointly shared by the Stern Undergraduate College and the MBA Office of Student Engagement. Permission must be obtained from both groups in order to book this room. Requests for this lounge must be sent to Special Events via email (sevents@stern.nyu.edu). Once permission has been granted via email, a request for an offsite space can be made in Virtual EMS.


To request an offsite space, follow these steps:

1. Log on to Virtual EMS using your Stern username and password

2. Click on Reservations->Request a Space

3. Specify the date and time of your event, and select “Offsite” from the list of facilities:

4. Specify the number of attendees and “No Preference” as the setup type

5. Click Find Space

6. Click the green “+” button next to one of the two spaces that are listed:

7. Click Continue

8. Include the actual venue in the event name:

9. Fill out the rest of the form with your reservation information

10. Click Submit. A pop-up window will appear to confirm that your request has been made:
